BannerWeb Information

The BannerWeb program is a vital resource for advisors. In recent years it has become increasingly accessible and now is familiar to virtually everyone on campus. If you are not comfortable with BannerWeb, it is worth spending a little time exploring what it can offer. The Registrar's Office website provides tutorials that can assist you.  Here, we provide instructions for accessing a few important BannerWeb functions.

HOW TO ACCESS COMMON ADVISING-RELATED USES OF BANNERWEB:

Viewing a List of Your Assigned Advisees (VERY USEFUL!!)

This list includes only advisees for whom you receive a PIN card; that is, this list does not include your major advisees who have another major that is listed ahead of yours on their academic record. Still, this is a VERY useful list. From it, you can view a student's Term PIN (only when Term PINs are active) or link directly to a student's transcript, general education progress, and contact information with single clicks. You can also e-mail the entire list with a single click.

To access this list, log onto BannerWeb and select "Faculty and Advisors" >> select "Student Menu"  >> select "View Advisee Listing" >> select the appropriate  term >> Submit.  

Looking at a Student's Transcript

Click above to access a single student's transcript, or (RECOMMENDED) you can work from your Advisee List (above section) to access advisee transcripts.  Note that students who entered the University prior to fall 2008 have two levels of transcript and you'll likely need to look at both the "Undergraduate" and "Undergraduate Units" levels for a complete view of the student's progress.

Looking at a Student's General Education Progress

Click above to access a single student's "degree evaluation," which provides a general education audit for your advisee, or (RECOMMENDED) you can work from your Advisee List (above section) to access advisee transcripts and degree evaluations.

Looking at a Student's Schedule

Log onto BannerWeb and select "Faculty and advisors" >> select "Student Menu" (note: This "student menu" is for faculty use and differs from the menu that students access through Bannerweb for Students) >> select "View Student Schedule" >> enter the student's name and/or identification number >> Submit.    **You can also access this information from your Advisee List (above section).  From the list, click on "Student Information" >> at the bottom, click on  "Student Schedule."

Looking up Student Contact Information

Log onto BannerWeb and select "Faculty and advisors" >> select "Student Menu" (note: This "student menu" is for faculty use and differs from the menu that students access through Bannerweb for Students) >> select "View Student Address and Phones" >> enter the student's name and/ or identification number >> Submit.    **You can also access this information from your Advisee List (above section).  From the list, click on "Student Information" >> at the bottom, click on  "Student Email Addresses."  Additional contact information is available on the email address screen.

Registration Rotation

The rotation schedule for fall semester 08 registration is available on the Registrar's website at http://oncampus.richmond.edu/academics/registrar/reg/regrotation200810.htm.

Term PIN Card Information

Term PIN cards are used at Richmond to ensure that all students meet with an advisor prior to their registration for courses. Though they are at times inconvenient, they are meant to guarantee that advising isn't an optional process; all Richmond students should be receiving the assistance of an advisor as they make their academic choices and plans. Even the most competent of our students can benefit from the insights of a competent faculty/staff member. The intended process for Term PINs is as follows:

Term PINs are NOW AVAILABLE ONLINE.  During the months when Term PINs are required for student registration, each advisor may access the Term PINs for her/his advisees by logging onto her/his Advisee List  (see instructions above under "Viewing a List of Your Assigned Advisees").  In addition, the actual Term PIN cards will again be distributed by the Office of the Registrar to each department administrative assistant. The administrative assistant or a designee distributes the PIN cards to the appropriate faculty member. The faculty member distributes the PIN card to the student at the conclusion of the advising appointment. These Term PIN numbers are used by the student for all registration and changes only during the regular registration period. Once "extended registration" begins, the system will no longer prompt the student to enter the Term PIN number.

Lost Term PIN Cards

Term PINs are also available to advisors via BannerWeb. If a student loses a PIN card, you can look up the Term PIN yourself by logging onto BannerWeb, then following the instructions above under "Viewing a List of Your Assigned Advisees".  You are also welcome to contact the AARC (287-6574) and we can look up the PIN for you.

If you do not receive a Term PIN for one of your advisees and the student is not studying abroad (PIN cards are not issued for students abroad), first check your advisee list to be certain the student hasn't declared a new major or otherwise been reassigned (log onto BannerWeb and follow instructions above under "Viewing a List of Your Assigned Advisees"). If the student is still on your advisee list but no Term PIN is listed, contact either the Registrar's Office (x8639) or the Academic Advising Resource Center (x6574) and we will provide you with the Term PIN number you need.

AARC PIN Distribution Policy

In the unusual case where an advisor is unable to distribute a Term PIN, or when a student and advisor have been unable to meet after appropriate attempts to do so, the AARC staff will serve as "back-up advisors." Term PINs will be given out to these students only after an advising appointment is completed, and the student's assigned advisor will be notified that this has occurred. The AARC's formal PIN Distribution policy is available for your review.

Note that it is the responsibility of the advisor to initiate contact with advisees prior to advising week each semester, making appropriate efforts to set up an advising appointment with each advisee. If an advisee is not responsive to requests for an appointment then makes an urgent call to the advisor at home the evening prior to registration, it is certainly appropriate for the advisor to require the student wait to register until after advising at the earliest appropriate time. Notifying the AARC about such situations can be helpful when students contact us with their requests.

Summer School Registration

Registration for summer classes begins in early March and continues until the Friday before the summer session begins.  Summer school registration is done via BannerWeb for all courses except internships and independent studies, which require a form available through the School of Continuing Studies.  Summer 08 courses will still be offered in semester hours.  The unit system comes into effect with fall 2008.  (Note that tuition is charged for internships and independent studies in the same manner as for any other summer courses.)   During Summer 2008, all students opting to live on campus during the summer term will live in co-ed residence halls so maintenance can be done on the university apartments.  Students may choose a roommate with whom to live as long as both parties list one another on the housing form.  Questions about summer school can be directed to the School of Continuing Studies, which manages the university's summer school program.
